01Introduction

TimeToSchool ("TimeToSchool", "we", "us" or "our") provides a school management platform made up of a web-based ERP and dedicated mobile applications for school management, teaching and non-teaching staff, and parents (together, the "Services"). This Privacy Policy explains what information we collect through the Services, how we use and share it, and the choices and rights you have.

This policy applies to the TimeToSchool Parent app, Staff app and Management app available on Google Play and the Apple App Store, and to the ERP web application at timetoschool.com. By using the Services, you agree to the practices described here.

02Our role: schools and TimeToSchool

Most information handled by the Services belongs to a school. When a school uses TimeToSchool to manage its students, staff and operations, the school is the data fiduciary (controller) that decides what data is collected and why. TimeToSchool acts as a data processor that stores and processes that data on the school's behalf and under its instructions.

If you are a parent, student or staff member, requests to access, correct or delete student records are typically handled by your school. We will support your school in responding to such requests. See Your rights and Deleting your data below.

03Information we collect

We collect the following categories of information:

Student recordsProvided and controlled by the school: student name, roll number, class/section, attendance, marks and report cards, homework, timetable, fee status, and — where the school chooses — student photographs.
Payment informationFee transaction records. Card and bank details are entered directly into a third-party payment gateway; we do not store full card numbers on our servers.
Device & technicalDevice model, operating system and app version, app language, a device identifier for notifications, IP address, and diagnostic/crash logs.
UsageFeatures used and general activity within the Services, used to operate and improve the product.
Location (optional)If your school enables transport / bus tracking, approximate or precise location may be processed to show live bus location. This is used only for that feature.

We do not require you to provide more information than is necessary to deliver the Services.

04How we use information

We use information to:

  • provide, operate and maintain the Services for your school;
  • authenticate users and secure accounts;
  • deliver attendance alerts, fee reminders, homework, results, circulars and other notifications;
  • process fee payments through our payment partner;
  • show transport / bus location where that feature is enabled;
  • provide customer support and respond to your requests;
  • monitor, troubleshoot, secure and improve the Services; and
  • comply with legal obligations.

We do not sell your personal information, and we do not use student data for advertising.

05Legal bases for processing

Depending on your jurisdiction, we rely on one or more of the following: performance of our contract with your school; your consent or your school's consent (including consent obtained by the school from parents for students' data); our legitimate interests in operating and securing the Services; and compliance with legal obligations. Where we process personal data of individuals in India, we do so in a manner consistent with the Digital Personal Data Protection Act, 2023.

06Children's and students' data

The Services are designed to be used by schools, staff and parents — not directly marketed to children. Information about students (who may be minors) is entered and controlled by the school, which is responsible for obtaining any consent required from parents or guardians under applicable law.

We process students' data only to provide the Services to the school, never for advertising or profiling. If you believe a child's data has been provided to us without appropriate authority, please contact us and we will work with the relevant school to address it.

07How we share information

We share information only as needed to run the Services:

  • With your school — the authorised administrators and staff of the school the account belongs to.
  • Service providers — vendors who host our infrastructure, send SMS and push notifications, process payments, and provide analytics/crash reporting, bound by contractual confidentiality and data-protection obligations.
  • Legal and safety — where required by law, regulation, legal process, or to protect the rights, safety and security of users, the public or TimeToSchool.
  • Business transfers — in connection with a merger, acquisition or sale of assets, subject to this policy.

08Third-party services

The Services rely on trusted third parties, which may include cloud hosting, SMS/notification providers, a payment gateway, and map/location providers for bus tracking. These providers process data on our behalf under their own terms and privacy policies. We select providers that offer appropriate security and data-protection safeguards.

09Payments

Online fee payments are processed by a third-party payment gateway that is PCI-DSS compliant. Card and bank credentials are entered into the gateway and are not stored on TimeToSchool servers. We retain transaction records (such as amount, date and status) needed for receipts, reconciliation and accounting.

10Data retention

We retain personal data for as long as the school's account is active and as needed to provide the Services, and thereafter as required to meet legal, accounting, tax or dispute-resolution obligations. When data is no longer required, we delete it or anonymise it. On termination of a school's subscription, student and school data is handled in accordance with our agreement with that school.

11How we protect your data

We use technical and organisational measures to protect information, including encryption in transit (TLS) and at rest, role-based access controls, authentication safeguards, and regular backups. No method of transmission or storage is completely secure, but we work continuously to protect your information and to promptly address any issues.

12Your rights and choices

Subject to applicable law, you may have the right to access, correct, update or delete your personal data, to withdraw consent, and to object to or restrict certain processing. Because your school controls student and school records, please direct requests about that data to your school; we will assist the school in fulfilling valid requests. For data we control directly (such as your contact account with us), you can contact us using the details below.

13Deleting your account and data

Request account & data deletion

To request deletion of your TimeToSchool account and associated personal data, email support@timetoschool.com with the subject "Data deletion request", or use our Contact page. We will verify your request and respond within a reasonable period.

Some information may be retained where required for legal, security or accounting reasons. Student and school records are controlled by your school; where deletion must be authorised by the school, we will coordinate with it to action your request.

14Cookies and similar technologies

Our web application uses cookies and similar technologies that are necessary for sign-in, security and core functionality, and to remember preferences. You can control cookies through your browser settings; disabling essential cookies may affect how the web application works. Our mobile apps do not use browser cookies but use local storage and a device identifier for notifications.

15International data transfers

We primarily store and process data on infrastructure located in India. Where data is processed in another country by us or our service providers, we take steps to ensure it receives a level of protection consistent with this policy and applicable law.

17Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice through the Services. Your continued use of the Services after an update means you accept the revised policy.
